What Drivers Need to Know About GST and Record Keeping

Rideshare and taxi work sits under a rule that surprises almost every new driver. Most small businesses only need to register for GST once their turnover passes the registration threshold. Drivers providing taxi travel, which includes rideshare, are generally required to be registered for GST from the moment they start, regardless of how little they earn. Someone driving two evenings a week as a side income has the same registration and lodgement obligation as a full time operator. Drivers who discover this a year in are usually facing backdated obligations on income they have already spent.

Once registered, the reporting has to reflect how the platform actually pays you. The amount that lands in your bank account is not your income. It is your income after the platform has taken its service fee, and often after other adjustments as well. Reporting the bank deposit rather than the gross fare understates both your income and the GST credits you are entitled to claim on the platform fee. Your platform tax summary is the document that reconciles the two, and it needs to be matched against your bank rather than filed away.

Deductions are the other area where drivers lose money quietly. A logbook maintained for a representative period supports apportionment of vehicle costs far more strongly than a percentage picked from memory, and it remains valid for several years provided your pattern of use does not materially change. Beyond fuel and servicing there are costs that are frequently missed entirely, including tolls, vehicle cleaning, the business proportion of your mobile data, parking while waiting, and platform related fees and commissions. Where a car is used privately as well as for driving, the apportionment needs to be defensible rather than convenient.

PAYG instalments are the third thing that catches drivers out. Once a pattern of business income is established, the ATO may require instalments through the year rather than a single amount at the end of it. Drivers who have not planned for this find the first notice arriving at a difficult moment.
