A fitness business runs on recurring revenue, which sounds stable and behaves anything but. Membership income arrives through a billing platform that attempts payments on a schedule, retries failures, processes refunds and holds, applies its own fees, and settles a net amount to your bank on its own cycle. What lands in your account in any given week is not what your members were billed, and the gap between the two is where the problems live.
Failed direct debits are the clearest example. A member whose card expires or whose account is short generates a failed payment. If the retry also fails and nobody follows up, that member continues attending while no longer paying, or quietly stops attending while still counted in your membership numbers. Neither outcome is visible from the bank statement, because the bank only shows what arrived. Reconciling the billing platform against actual receipts, line by line rather than in total, is the only way failed payments become visible while they are still recoverable.
Prepaid revenue is the second area that needs correct treatment. Session packs, upfront annual memberships and challenge programs are all money received for services not yet delivered. Until the sessions are used or the membership period elapses, that money is an obligation rather than income. Studios that recognise a ten session pack as revenue on the day it is sold report a strong month and then carry the delivery cost across the following months with no revenue attached to it. It also matters commercially, because unredeemed sessions represent capacity you have already committed and cash in your account that is not yet yours.
Trainer engagement is the third question, and it is one the fitness industry gets wrong more often than most. Coaches are frequently engaged as contractors on the basis that they hold an ABN, set their own hours and have their own clients. Where a trainer is paid mainly for their labour, superannuation may be payable regardless. Where the relationship is genuinely a floor rental, the rent is income to your business with its own treatment. Getting this right at the outset is far cheaper than correcting it later.
