Bookkeeping for Cleaners & Maintenance
Cleaning is a business of many small jobs, which means many small invoices, many small expenses and a lot of them going unrecorded. The admin does not scale with a mop. We take the books off the hands of cleaning and maintenance operators around Perth, so the invoicing goes out on time, the contractor reporting is done, and the evenings are yours again.
Struggling With the Paperwork?
Running a mobile, service based business means you are on the tools all day, so admin gets done late at night or not at all. If invoicing, expenses and compliance are piling up, it may be time for some help.
Here are a few signs it might be time to get support:
Behind on your contractor reporting?
Cleaning businesses must report payments made to contractors each year. We record them as you go, so the TPAR is ready well before it is due.
Invoices going out late, or not at all?
Work that is not invoiced promptly is work you may never be paid for. We keep billing and follow ups moving.
Supplies and travel costs unrecorded?
Products, equipment, fuel and time on the road all add up. We capture them so nothing deductible is lost.

Contractor Reporting and Cash Flow in Cleaning
Cleaning businesses carry a specific reporting obligation that many operators only discover after the fact. Businesses providing cleaning services are generally required to lodge a Taxable Payments Annual Report covering payments made to contractors during the year. The report requires the contractor’s name, address, ABN and the total paid including GST. It is a straightforward lodgement when those details were captured at the time of payment and a difficult one when they were not.
That obligation sits alongside a broader question about how your workers are engaged. Cleaning has one of the highest rates of subcontracting of any service industry, and an ABN does not by itself determine the outcome. Where a person is paid mainly for their labour, superannuation may be payable even though they invoice you. Where the arrangement has the practical characteristics of employment, including set hours, supplied equipment, no genuine ability to delegate and no real commercial risk, treating the person as a contractor carries real exposure across superannuation, payroll tax and workers compensation. These arrangements are examined more closely in cleaning than in most sectors precisely because the industry is known for them.
There is also a withholding rule worth knowing. Where a supplier does not quote an ABN and no exception applies, you are generally required to withhold at the top rate from the payment and remit it. Paying the invoice in full and moving on leaves the obligation with you.
The cash flow problem in cleaning is structural rather than dramatic. A cleaning business earns in many small amounts across many clients, and each one has to be invoiced. The invoicing is not difficult but it is relentless, and it is the first thing to slip when the operator is also doing the work. Invoices raised late are paid late, and invoices never raised are never paid at all. For most cleaning businesses, tightening the invoicing cycle improves cash position faster than any other single change.
We keep your invoicing on schedule and follow up on outstanding accounts, capture your supplies, equipment, vehicle and travel costs, record contractor payments through the year and prepare your TPAR, run payroll for employed staff, and prepare your BAS. The process is designed to work from a phone between jobs rather than from a desk at midnight.
