Reporting to Head Office and Running Your Own Numbers

Franchisees carry a reporting burden that independent operators do not. Alongside the ordinary obligations to the ATO, you report to a franchisor on their timetable, in their format, often using systems they have specified. The Franchising Code of Conduct places disclosure and record keeping obligations on both sides of the relationship, and your ability to meet yours depends entirely on whether your books are current.

The practical difficulty is that franchisor reporting and useful management reporting are not the same thing. Head office generally wants sales performance against benchmark. What you need to know is whether this site makes money after every cost, including the ones head office does not ask about. Royalties and marketing levies are calculated on turnover rather than profit, which means they are payable whether the site is trading well or not. Rent, wages and stock come out of the same turnover. It is entirely possible to hit every sales target set for you and still be going backwards, and a franchisee who only sees the franchisor report will not know until the bank balance tells them.

The initial franchise fee and any renewal fee also need careful treatment. These are generally capital in nature rather than immediately deductible, and the correct handling depends on the terms of your agreement and the length of your franchise term. This is a question for your accountant, and we make sure the underlying records support whatever position is taken rather than obscuring it.

Multi site operators face an additional problem. Consolidated numbers hide the site that is losing money. Where two or three locations are pooled into one set of books, a strong performer subsidises a weak one invisibly for months. We keep each site clear on its own numbers while giving you a consolidated view, so you can see both.

We work with the system your franchisor requires and reconcile it back to Xero, so you meet their reporting obligations without losing sight of your own position. Royalties, levies, wages, stock and rent are recorded consistently, payroll and superannuation are managed in line with your pay cycle, and your BAS is prepared from records that are already reconciled.
