Your Bank Reconciliation Never Quite Finishes
Open the reconciliation screen for each bank account and look at two things: how many statement lines are sitting unreconciled, and how old the oldest one is. A file that needs a cleanup has lines going back months, often because someone hit reconcile on transactions that did not really match, or created manual transactions to force the screen to zero.
The more reliable test is the bank statement balance itself. Run the reconciliation report and compare Xero’s statement balance with your actual internet banking balance on the same date. There Is a Balance Sitting in Suspense or Ask My Accountant
Suspense accounts exist to park transactions temporarily while you work out where they belong. In a drifting file, temporary becomes permanent. If your balance sheet shows a persistent balance in suspense, historical adjustments or an account literally named something like Ask My Accountant, your profit figures are provisional whether you realise it or not.
The same problem hides inside ordinary accounts. Scan the general ledger for accounts with names that no longer match their contents, sundry expenses doing the work of five real categories, or income coded straight to a bank account. Miscoding does not just muddy the reports. It changes your GST position, because a transaction coded to the wrong account often carries the wrong tax rate with it.
Your GST Reports Do Not Match What Was Lodged
Run the GST reconciliation report and compare it with your lodged BAS figures. In a clean file they agree. In a file that needs attention there are unfiled amounts accumulating in earlier periods, usually because transactions were added, edited or deleted after the BAS was lodged. Each one of those changes quietly shifts a period that has already been reported to the ATO.
This is the sign we treat most seriously, because it has compliance consequences rather than just reporting ones. Left alone it compounds each quarter, and correcting it later means unpicking every period back to the last point where the file and the lodgements agreed. Print your aged receivables report and read it honestly. The mirror image happens with payables, where bills marked awaiting payment were actually paid weeks ago from a card that is not connected to Xero.
Phantom receivables are more damaging than they look. They overstate your income position, make genuine debtor follow up impossible because the list is full of noise, and they distort any cashflow forecast built from the file. Payroll Figures That Disagree With Your Reports
Compare the payroll activity summary with the wages and superannuation lines in your profit and loss for the same period. They should match to the cent. Differences usually mean manual journals have been posted over the top of payroll, or pay items are mapped to the wrong accounts.
